Privacy Policy
How we handle personal data belonging to candidates, headhunters and hiring teams — what we collect, why we are allowed to hold it, how long we keep it, and how to get it back or have it deleted.

This policy explains how RecruitRadar handles personal data. It applies to everyone who appears on the platform, and the role you hold determines what we hold about you.
- Candidates — people submitted for a role by a headhunter, or who apply to a role directly.
- Headhunters — independent recruiters who source and submit candidates through the platform.
- Companies — hiring teams who post roles, review candidates and confirm hires.
RecruitRadar is the data controller for the personal data described below. Where a company uses the platform to run its own hiring process, that company is a separate controller for the decisions it makes about its candidates.
What we collect
We collect only what we need to match candidates to roles, pay headhunters correctly, and keep the platform secure.
From candidates
- Name, email address and phone number
- CV or résumé, work history, education and skills
- Current location, and whether you are authorised to work there
- Salary expectations and notice period, where you share them
- The roles you were submitted for, your stage in each process, and interview feedback
- Any documents or notes you choose to send us directly
From headhunters
- Account and identity details, including verification documents
- Professional background, specialisms and placement history
- Performance data such as placement rate, response time and candidate quality
- Messages and submissions made through the platform
- Payout details, including bank and tax information
- Usage logs, IP address and device information
From companies
Account details for each user, job specifications and reward terms, hiring decisions and feedback, and billing information.
Technical data
IP address, browser and device type, and cookies that keep you signed in, protect the platform from abuse, and tell us which pages are used. We do not use advertising cookies.
We do not ask for special category data such as health, religion or ethnicity, and headhunters must not submit it.
Where your data comes from
We do not scrape personal data from the web.
RecruitRadar does not crawl, scrape or buy personal data from public websites, social networks, professional networks or third-party CV databases. We do not build shadow profiles of people who have never dealt with us.
Every candidate profile on the platform arrives in one of two ways: the candidate gives it to us directly, or a headhunter submits it after obtaining that candidate's consent. Our matching and ranking runs only over data already held in the platform.
Headhunters warrant, each time they submit a candidate, that they have the candidate's consent and a lawful basis to share the data with us and with the hiring company. We remove profiles submitted without a valid basis and may suspend the headhunter's account.

Why we process it, and the legal basis
Under the GDPR we must have a lawful basis for each purpose. Ours are as follows.
- Contract
- Running accounts, submitting candidates to roles, tracking hiring stages, invoicing companies and paying headhunters. Article 6(1)(b).
- Consent
- Holding a candidate profile submitted by a headhunter, and sending marketing email. You can withdraw consent at any time without affecting processing already carried out. Article 6(1)(a).
- Legitimate interests
- Keeping the platform secure, preventing fraud and spam submissions, scoring headhunter performance, and improving the service. We balance these against your rights. Article 6(1)(f).
- Legal obligation
- Keeping tax, accounting and anti-fraud records, and responding to lawful requests from authorities. Article 6(1)(c).
We do not make decisions producing legal effects about you by automated means alone. Ranking and matching order candidates for a human recruiter to review; a person always decides who is contacted, interviewed or hired.
How long we keep it
We keep personal data only as long as it serves the purpose it was collected for, then delete or anonymise it.
The longer financial periods are set by tax and accounting law, not by us. Where a retention period is driven by contract or law we keep only the records needed for that purpose and remove the rest. You can ask for earlier deletion at any time — see below.
Your rights, and how to use them
You can exercise any of the following rights, free of charge.
- Access — get a copy of the personal data we hold about you.
- Rectification — have inaccurate or incomplete data corrected.
- Erasure — have your data deleted, including a profile a headhunter submitted on your behalf.
- Restriction and objection — pause our use of your data, or object to processing based on legitimate interests.
- Portability — receive your data in a structured, machine-readable format.
- Withdraw consent — at any time, where consent is the basis we rely on.
How to make a request
Email privacy@recruitradar.com from the address we hold for you, or use the account settings if you have a login. Tell us what you want and, if you are a candidate, which company or role it relates to if you know. We respond within 30 days. If your request is complex we may extend this by a further two months and will tell you why. We may ask you to verify your identity before we act.
You do not need an account to ask for deletion. If a headhunter submitted you and you want your profile removed, write to us and we will delete it and tell the headhunter not to resubmit you.
If you are unhappy with our response you can complain to your local data protection supervisory authority.
Security, changes and contact
Security
Data is encrypted in transit and at rest. Access is limited to staff who need it for their work and is logged. If a breach is likely to put your rights at risk we will notify the relevant supervisory authority within 72 hours and tell you without undue delay.
Changes to this policy
If we change how we handle personal data we will update this page and move the “last updated” date. For material changes we will contact account holders directly before the change takes effect.
